How to Choose Car Wash Software: 10 Things to Check During a Trial

When choosing car wash software, most business owners follow the same path: they watch the demo video, ask about the price and make a decision. Yet whether a program really fits your business only becomes clear once you've spent a day with it using your own vehicles. There's no single answer to "what's the best car wash software?" that holds for everyone; the best one is the program that fits your workflow with the least friction.

This guide offers a neutral 10-point checklist you can test item by item during a trial. If you'd like a comparison of solution types such as a notebook, Excel, a generic POS program and industry-specific software, along with pricing models, see our best car wash software guide. This article focuses directly on what to try out on the shop floor.

Before You Start: Profile Your Business

Before going through the list, answer these questions for your own business. Your answers determine which items are critical for you:

  • How many vehicles do you wash per day on average, and how many wash bays do you have?
  • How many people work for you, and who runs the till?
  • Do you work by appointment or first come, first served?
  • Do you have subscription or package customers, or would you like to?
  • Do you have fleet or corporate customers who buy on credit?

A 10-Point Checklist for Car Wash Software

1. Cloud and Mobile Access

Why it matters: At a car wash, the work happens next to the vehicle, not at a desk. A program installed on a single computer brings your business to a halt when that computer breaks down.

How to test it: Open the program on a phone, a tablet and a computer at the same time. Enter a new customer and receipt on the phone and see whether it shows up on the computer right away.

2. Plate-Based Records and Search

Why it matters: At a car wash, the customer's identity is their license plate. Searching by name means a queue at rush hour.

How to test it: Save a plate, then search for it with one letter mistyped. Can the program suggest the correct plate? Can you add a second vehicle to a customer? If there's camera-based plate scanning, try it on a real vehicle in daylight.

3. WhatsApp Receipt

Why it matters: WhatsApp is the main channel for communicating with customers; paper receipts get lost, and phone calls take time.

How to test it: Send a receipt to your own number. Which number does the message come from — the business line or an employee's phone? Are the line items, amount and balance on the receipt easy to read?

4. Appointments

Why it matters: At a business that works by appointment, two clashing bookings mean two unhappy customers waiting at the door.

How to test it: Send the booking link to yourself and book an appointment as a customer would. Try booking a second appointment for the same bay at the same time. Close a day as a holiday and check whether bookings can still be made for that day.

5. Subscriptions and Packages

Why it matters: A monthly wash package is the shortest route to regular income, but if tracking is weak, it leads to arguments.

How to test it: Sell a three-wash package, use it three times and see what the program does on the fourth wash. Tie the package to one plate and try using it on another vehicle. Does the receipt show the remaining washes?

6. Cash and Reports

Why it matters: If the till doesn't balance at the end of the day, none of the other features matter.

How to test it: Over the day, create a few receipts paid in cash, by card and on account, and cancel one of them. Does the end-of-day report show each payment method separately, and is the cancelled receipt listed with its reason? Can a user with cashier permissions see the revenue?

7. Hardware Compatibility

Why it matters: Finding out after you've chosen a program that your receipt printer doesn't work with it is frustrating.

How to test it: Ask whether the receipt printer you already have is supported, or connect it during the trial and print a receipt. Also check on the shop floor whether a phone camera is good enough for plate scanning.

8. Support

Why it matters: When something goes wrong at noon on a Saturday, you need to know who to contact.

How to test it: Send a question during the trial and note how quickly and how clearly you get an answer. Check whether you can open a support ticket from within the program.

9. Pricing Model

Why it matters: With models that charge per order or per transaction, your bill grows as your business grows.

How to test it: Ask in writing what the price depends on: number of users, monthly receipt volume, number of branches, add-on modules. Also ask about the terms for paying yearly and what happens if you cancel your subscription.

10. Trial Period

Why it matters: A limited demo doesn't show you a real workload.

How to test it: Find out whether the trial covers every feature and whether it asks for a credit card. Actually use the program for at least half a day on your busiest day.

Scorecard

Give each item 0 (not available), 1 (partially) or 2 (fully). The right choice isn't the program with the highest total score, but the one that scores 2 on the items that are critical for you.

How Does Cleandy Meet These Criteria?

We applied the same list to our own product. In short:

  1. Cloud and mobile: Cleandy runs in the browser; no installation is needed on phones, tablets or computers.
  2. Plates: Typing the plate opens the registered customer; if a plate is off by one character, registered plates come up as suggestions; and you can add more than one vehicle to a customer. Plates can also be scanned with a phone or tablet camera.
  3. WhatsApp receipt: Receipts are sent from your business's connected WhatsApp line; automatic sending can be turned on when saving a record. The receipt shows the line items, total, balance and, if applicable, the washes left in a package.
  4. Appointments: A shareable booking link, available and booked times per wash bay, phone verification with a WhatsApp code, blocking of a second booking for the same bay and time, closing holiday dates, service selection when booking, converting a booking into an order with a single tap, and a staff-based calendar.
  5. Subscriptions and packages: Wash packs and monthly subscriptions, tying to a plate, remaining washes and usage history; subscriptions with three days left are listed for the cashier.
  6. Cash and reports: Cash, card, on account and payment on delivery; a Z report by payment method, expenses, cancelled receipts and their reasons, Excel export and per-staff cash tracking. The cashier role cannot see the Z report.
  7. Hardware: Works with 80 mm thermal receipt printers with auto-cutters; label printers and Caller ID devices that show the incoming caller's number are also supported.
  8. Support: You can open a support ticket from within the program.
  9. Pricing model: No per-order or per-appointment fees; it works on a flat monthly or yearly subscription. Plans differ by number of users and monthly receipt volume. Current prices are in our pricing section.
  10. Trial: Every feature is free for 15 days, and no credit card is required. You can import your existing customer list from an Excel file.

One note: adding vehicle photos at check-in is available on Professional and higher plans. We explain what booking looks like from the customer's side in our car wash appointment system article. To see all features on one page, visit our car wash software page.

Frequently Asked Questions

What is the best car wash software?

There's no single best program for everyone. The right choice is the program that provides plate-based records, WhatsApp receipts, cash reports and cloud access, and scores full marks on the items that are critical for you, such as appointments or subscriptions.

What's the difference between car wash software and a generic POS program?

A generic POS program records the sale but doesn't understand the plate, vehicle type, wash bay or package washes. Car wash software builds every record around the vehicle and its plate.

What should I pay the most attention to during the trial?

Use the program with real vehicles on your busiest day. If plate search, the WhatsApp receipt and the end-of-day cash report don't pass that test, the other features don't matter.

Can I move my existing customer list to the new program?

This varies from program to program, so be sure to ask before you buy. In Cleandy, you can import your customer list from an Excel file.
