Car Wash Subscription System: Monthly Wash Plans and Remaining Washes
Car wash revenue depends on the weather: a sunny Saturday brings a queue, a rainy week leaves the bays empty. A monthly wash package is the most practical way to smooth out those swings; the customer pays up front, and you see them again and again throughout the month. But a subscription is only profitable if it's tracked properly. In this article we explain how to set up a car wash subscription system, how to track remaining washes and how to make sure a package is used on the right vehicle.
Our examples use Cleandy car wash software, which works with license plates.
What Do Subscriptions Bring to a Car Wash?
- Cash up front: The package price goes into the till at the moment of sale.
- Loyal customers: A customer with washes left doesn't go to another car wash; they come to you to use them.
- Predictable workload: As you see how often subscribers come in, your staff and supply planning gets clearer.
- Upselling opportunities: It's easier to offer interior cleaning, polishing or waxing to a customer who comes in for a subscription wash.
Don't forget the risk, either: a package tracked in a notebook soon turns into a "But I had one more wash left" argument. That's why you need a system to handle tracking before you start selling subscriptions.
Wash Pack or Monthly Subscription?
Cleandy works with two package types. Which one you choose depends on your customer profile:
| Wash pack | Monthly subscription | |
|---|---|---|
| Washes included | A set number (e.g. 5 washes) | A set number or unlimited |
| Duration | A validity period in days if you want one, otherwise no expiry | A one-month period starting on the day of sale |
| When it runs out | A new package is sold | A new period is started with "Renew" |
| Best suited to | Individual customers who come in now and then | Customers who wash often and come in regularly |
For example, you can define a wash pack like "5 washes, valid for 90 days" or a subscription like "unlimited monthly exterior washes". You set the prices yourself based on your area and your costs; we explain how to build your service prices in our car wash pricing guide.
How to Set Up a Car Wash Subscription System
1. Define package templates. In the "Wash Packages" section under Settings, you enter a name, type (wash pack or monthly subscription), number of washes and price for each package; you can add a validity period in days to wash packs if you like. Packages you no longer sell can be set to inactive, so they don't appear on the sales screen.
2. Sell from the customer card. In the "Vehicles & Packages" section of the customer card, you press the "Sell package" button. The cashier picks a template and, if needed, changes the number of washes and the price for that particular sale.
3. Tie the package to a plate or leave it open. If the customer has registered vehicles, you can tie the package to a single vehicle with the "This plate only" option, or leave it open by choosing "All vehicles".
4. Take payment. The sale is paid in cash or by card, a sales receipt is created and the amount is recorded in that day's till. The sale appears in the receipt list with the cashier's name.
Plate Recognition: Making Sure the Package Is Used on the Right Vehicle
When a subscriber arrives, the cashier doesn't need to search the customer list. On the order screen, you type the plate or scan it with a phone camera; if the plate is registered, the customer is selected and their active packages show up right away with the remaining washes, such as "3/5". Unlimited subscriptions show "Unlimited".
At the payment step, the "Use package" option appears. The program checks every use:
- An expired package can't be used.
- A package with no washes left can't be used.
- A package tied to one plate can't be used on a different vehicle.
In these cases the option appears greyed out and states the reason: "expired", "used up" or "belongs to another plate". Each vehicle in the cart counts as one wash; if there aren't enough washes left, the package covers as much as it can, and you take the rest of the amount with your usual payment methods. If the whole receipt is covered by the package, the record is closed with a "Package" payment.
Tracking Remaining Washes: On the Receipt and on WhatsApp
The thing that causes the most arguments with subscriptions is how many washes are left. Cleandy puts it in writing on every wash: both the printed receipt and the WhatsApp receipt include a line like "π¦ Package name: 1 wash used β Left: 2". The customer knows how many washes they have left without having to call you.
The customer card keeps a usage history for each package: it lists on which date, for which plate, how many washes were used and with which receipt number. A receipt paid from a package can't be edited afterwards; if there's a mistake, the receipt is cancelled and entered again. When a receipt is cancelled, the washes that were used are returned to the package, so the customer doesn't lose them. This rule also stops anyone from tampering with washes at the counter.
Don't Miss Expiring Subscriptions
With monthly subscriptions, the real revenue comes from renewals. Subscriptions with three days left are listed at the top of the order screen under the heading "Subscriptions ending soon", showing the customer name, plate and end date. The cashier reminds the customer about renewal when they come in.
Renewal is done with the "Renew" button on the customer card: payment is taken and the new period starts that day. Unused washes don't carry over to the new period. Telling the customer about this rule clearly at the time of sale heads off any objections later on.
Prepayment Instead of a Package: Balance
Not every customer wants a package. Some customers, especially those who bring in company vehicles, prefer to pay a set amount up front and have washes deducted from it. You take prepayment with "Top up" on the customer card; on later receipts, the "Use balance" option covers the amount from the balance. The remaining balance is also shown on the WhatsApp receipt.
Example: One Month for a Subscriber
On the 5th of the month, you sell Mr. Ahmet a four-wash monthly subscription and tie the package to the plate 34 ABC 123; payment is taken by card and the sales receipt goes into the till. Every time Mr. Ahmet comes in, the cashier scans the plate, "Use package" is selected and the WhatsApp receipt shows the washes he has left. One day his wife comes in with a different car on the same package; because the package is tied to the plate, the program doesn't allow it, and the wash is charged at the regular price. Three days before the period ends, Mr. Ahmet's name appears on the list at the counter; the cashier suggests renewal on his next visit, and with "Renew" the new period starts that day.
Things to Keep in Mind When Setting Up Packages
- Keep it simple. Two or three packages are enough; ten different packages wear out both the cashier and the customer.
- State the rules at the time of sale. The validity period, the tie to a plate and the fact that washes don't carry over should be discussed up front.
- Do the math on costs. For unlimited subscriptions, factor in what your most frequent customer costs you.
- Keep an eye on renewals. Watch the subscribers whose plans are about to end on the list at the counter and remind them when they come in.

Frequently Asked Questions
Can a monthly subscription include unlimited washes?
Yes. If you leave the number of washes blank on a monthly subscription, the package becomes unlimited; washes done during the period are deducted from the package and recorded in the usage history.
Do unused washes carry over to the next month?
No. When a monthly subscription is renewed, the new period starts that day and any washes left from the previous period are reset.
Can one package be used on two of the customer's vehicles?
If you choose "All vehicles" when selling the package, it can be used on any vehicle the customer brings in. If you choose "This plate only", the package is valid only for that vehicle.
How does a package sale show up in the till?
The package is paid in cash or by card at the moment of sale and a sales receipt is created; the amount is recorded in that day's till.
