Expense Tracking with Cleandy
Cleandy's expense module is designed for all industries: dry cleaning, carpet washing, upholstery cleaning, shoe repair, car wash, beauty salons — no matter what business you run, you can enter your daily expenses from the same screen.
To know how much money should be in the cash register at the end of the day, you need to track not just collections, but also all expenses made throughout the day. Categorize the expense, save it; at the end-of-day Z-report, it is automatically deducted from the cash register.
How to Enter an Expense?
- Open the Expense Entry page from the left menu.
- Click the New Expense button in the top right.
- Select the expense type (categories explained below).
- Enter the amount and description if any.
- Save — the expense immediately appears in the list.
If you want to delete an expense, you can use the trash icon on the right side of the row.
Expense Categories
Categories are the same across all industries using Cleandy:
| Category | When to Use? |
|---|---|
| Personnel | Salary, bonus, insurance payments |
| Accounting | Accountant fee, tax expenses |
| Fuel | Vehicle fuel, courier expenses |
| Consumables | Chemicals, bags, hangers, cleaning supplies, packaging |
| Rent | Workplace rent |
| Invoice | Electricity, water, natural gas, internet |
| Other | All expenses that don't fit the above |
Selecting the right category helps you understand how much each expense item costs at the end of the month — from dry cleaners to beauty salons, from shoe repair shops to carpet cleaners, this need is common to every business.
Filtering Between Two Dates
At the top of the expense page, there are Start and End date fields and an Expense Type filter.
- When you select a specific week or month range and click Filter, only expenses from that period are listed.
- You can also use the category filter together to get focused views like "This month Personnel" or "This month Fuel".
- The list also updates the total expense as shown on screen; how much was spent in which period is understood at a glance.
Expense Deduction in Z-Report
When you run the end-of-day Z-report, Cleandy automatically performs the following calculation:
```
Cash Collections
– Cash Expenses
= Amount to Be Delivered from Register
```
This calculation works the same way for dry cleaners, carpet cleaners, and shoe repair shops. The staff handing over the register at closing knows exactly how much money to leave. Card and bank transfer collections are excluded from this calculation; only cash receipts and cash expenses are taken into account.
Example Calculation
| Item | Amount |
|---|---|
| Cash collections (day) | 2.400 ₺ |
| Fuel expense (cash) | 150 ₺ |
| Consumables (cash) | 80 ₺ |
| Register delivery | 2.170 ₺ |
When expenses are not paid in cash (e.g., if a bill is deducted by automatic payment), still enter them into the system; a record is created for historical reporting, but it does not affect the cash calculation in the Z-report.
Common Mistakes
Not entering the expense in the list. Always open a record when money leaves the register; otherwise the amount in the Z-report will be higher than the actual money in the register and a discrepancy will appear.
Selecting the wrong category. Instead of filling "Other", select the most appropriate category. Seeing how much each expense item amounts to in monthly reports makes it easier to make business decisions.
Leaving the expense to the next day. It is important to record the expense with the date it was made; the daily Z-report takes expenses entered that day.
